Overview

This role supports order processing and sales operations across multiple systems, including OnContact and MCS. Key responsibilities include:

  • Order Management: Process customer orders, ensure correct formatting, and coordinate with EMG (Order Fulfillment Center in Green Bay) to resolve issues such as packaging changes, inventory shortages, pricing discrepancies, and product code updates.
  • Customer & Sales Support: Work closely with two sales reps and customers to troubleshoot order-related issues and ensure smooth fulfillment and delivery.
  • Reporting & Analysis: Prepare daily and monthly sales reports using Excel, including scorecards and visualizations (charts, graphs, pivot tables). Assist in Quarterly Business Review preparation and future forecasting.
  • System Maintenance: Maintain accurate data in OnContact and MCS, verify payment and shipping details, and ensure order accuracy.

Essential Duties:  Essential duties noted below may vary by position and/or client needs.

Reporting/Support Functions- Participate in the activities involved in providing quality support and reporting services to assigned internal/external departments (e.g., Operations, Sales, Analytics, etc.) while ensuring adherence to corporate and departmental policies and procedures

  • Monitor data & update sales performance through sales tracking tools and other performance KPI’s
  • Preform various order management functions to include order entry, tracking, cuts, shortages, transportation issues, returns, invoices, etc. effectively engaging with sales, client and customer as needed.
  • Analyze and amend rejections on sales orders to ensure orders are handled correctly and efficiently
  • Manage inventory allocations
  • Gather and analyze data to understand problems and address them proactively
  • Create and prepare sell sheets, presentations, truck builders, trackers, etc.
  • Complete set up of new items, displays, promotions, and execution of price changes
  • Order and manage sample inventory forecasting needs of business; process and fulfill sample requests for sales team; submit display forecasts
  • Management of payments and deductions by researching and validating all claims in accordance with client and company standards and processes; submitting claims for processing; working with finance team as needed
  • Update and maintain internal/external systems with detailed and accurate customer, product, pricing, and sales data
  • Develop, generate, and distribute reporting as needed
  • Document customer/client notes in CRM with concise details timely and accurately
  • Research and resolve issues within scope of responsibility
  • Support the assigned sales team with other administrative tasks as requested

 

Staff Assistance & Development - Provide assistance to associates ensuring adherence to departmental & client policies and procedures.  Develop associates to achieve individual, company and client goals

  • Provide support by answering questions ensuring functions are efficiently performed in a quality-oriented manner
  • Keep up to date on current workflow and department procedures to answer questions, provide direction, or complete tasks
  • Provide departmental support ensuring issues are resolved in an accurate, timely, and professional manner
  • Train and mentor associates as necessary
  • May be required to support supervisor in tasks and coaching

 

General Associate Job Responsibilities

  • Exercise exceptional customer service skills to optimize each contact with the client and customers
  • Ensure that all requests/tasks are responded to in a professional and timely manner
  • Maintain required documentation including Standard Operating Procedures (SOP’s) on all processes updating regularly as needed
  • Maintain strict confidentiality of information provided by client and customers or data accessed within assigned systems
  • Maintain an in-depth knowledge of client's products and systems, as well as policies and procedures
  • Establish and maintain a professional relationship with internal/external customers, client, team members and department contacts
  • Escalate to leadership any situation outside the employee’s control that could adversely impact the services being provided

  • Must be 18 or older and have a High School diploma or GED or equivalent education

  • Strong organizational skills with the ability to multi-task
  • Ability to develop mastery of multiple systems, the business and category knowledge
  • Highly proficient in Microsoft Office with a high level of competency on Excel
